The Escondido Public Library’s generative AI guidelines empower public library staff to effectively harness AI technology for marketing and operational tasks. They provide clear, actionable steps to create cohesive and branded content, encouraging staff to experiment with AI tools and transform complex technology into practical solutions that streamline daily workflows. This innovative approach places libraries at the forefront of digital transformation, making AI accessible and beneficial for everyone.

Challenge/Opportunity

The primary challenge addressed by this innovation is the practical application of generative artificial intelligence (AI) in public libraries, a topic often discussed in the media but lacking detailed documentation and real-world examples. The overwhelming scope of AI applications can leave library staff feeling uncertain about where to begin. Our innovation provides a comprehensive introduction to generative AI, focusing on its potential to enhance day-to-day library operations, particularly in marketing. We developed a "recipe book" to guide staff in using generative AI to create cohesive and branded content. This initiative encourages experimentation with AI across all staff levels, supported by the library administration, to address the lack of everyday AI use in the workplace and make AI applications more accessible and visible.


Key Elements of Innovation

In late 2023, the library administration reviewed the latest AI discussions and compiled a best practices document, which evolved into guidelines for introducing generative AI in public libraries. These guidelines were refined with input from other library directors, incorporating ethical considerations such as implicit biases in content generation. Aligned with the library's brand refresh, the guidelines emphasize maintaining consistent elements in AI-generated content. The guidelines support team-based subscriptions to AI platforms like ChatGPT, Google Gemini Advanced, and Microsoft Designer, and integrate policies for creating event images in the online calendar. The guidelines also extend to AI tools in Canva. This initiative uniquely focuses on generating illustrations and photographs aligned with existing marketing strategies, offering a replicable model for other libraries. The guidelines are designed to be adaptable, allowing for flexibility as AI technology evolves.


Achieved Outcomes

The innovation has led to the successful implementation of generative AI in the library's marketing and operational processes. The online calendar was updated with AI-generated images for over 20 monthly events, and eight new program-specific logos were created. AI also played a crucial role in securing a $20,000 Play for All LSTA grant from the California State Library for the Little Explorers Safari project. Additionally, AI has been utilized to prepare monthly reports, City Council Resolutions, and other official documents, significantly reducing the time required for these tasks. New marketing staff receive comprehensive training on AI, ensuring they are familiar with the guidelines and encouraged to explore new applications. Feedback from staff has been positive, with many appreciating the time-saving benefits and the enhanced creativity AI brings to their work.
